KAAMDOWN / YOUR INFORMATION

Privacy Policy

Your information. Clear choices. Personal support.

Review version: 26 October 2026

Review copy. The retention arrangements and remaining provider, cookie and security checks must be completed before this version is published.

1. Who we are

KaamDown is operated by Binod Acharya, trading as KaamDown, who is the data controller for the information we collect and use to run this service.

Contact us about privacy at myfirstjob@kaamdown.com . This notice covers www.kaamdown.com , including accounts, profiles, applications and enquiries. If a registered company takes over, we will update the controller details and explain relevant changes.

2. What information we use

  • Accounts: name, email address, account type, authentication identifiers and verification status.
  • Profiles: contact details, education, skills, experience, availability and work preferences that you choose to provide through available fields.
  • Applications: the vacancy, submitted details, any CV you provide, dates, application status and related correspondence.
  • Employers and enquiries: business contact details, vacancy information, messages and our replies.
  • Technical information: IP addresses, browser information, authentication and security logs, errors and saved website preferences.

Information comes from you, from Google if you use Google sign-in, and from employers when they provide recruitment updates. You can browse general website content without an account. An account is needed for features that save information against your profile.

Required fields are marked in the relevant form. If you do not provide necessary information, we may be unable to create your account, process your application or answer your request.

Please do not include unnecessary sensitive information, passport copies, bank details or identity documents in general messages or your profile. A separate checking process, if needed, will have its own instructions and privacy information.

3. Google sign-in

Google sign-in shares basic information permitted by the sign-in permissions, such as your name, email, profile picture and Google account identifier. Supabase handles authentication for KaamDown.

This does not give us your Google password or access to your Gmail inbox. See Google's Privacy Policy for its own practices.

Email confirmation and Google sign-in establish access to an email or Google account. They do not by themselves verify identity, employer legitimacy or UK right to work.

4. Purposes and lawful bases

Our legitimate interests are to provide and administer the account and recruitment-support services people request, coordinate applications, answer enquiries, maintain necessary records, and protect the service from fraud and misuse. We use the information needed for these purposes, taking account of individuals' rights and reasonable expectations.

Where we offer optional marketing, a separate talent pool or optional tracking that requires consent, we ask for that consent separately. You may withdraw it at any time without affecting earlier lawful processing. Applying for a job or creating an account is not agreement to receive marketing.

We may also process information to meet specific legal obligations, respond to lawful requests, or establish, exercise or defend legal claims where appropriate.

5. Applications and employers

Applications may be reviewed by KaamDown, the employer responsible for the vacancy, or both. When you apply, we may share relevant application details and any CV you submit with that employer for recruitment purposes.

Creating an account does not authorise circulation of your profile or CV to all employers. We will ask before putting you forward for a different vacancy.

Information shared for recruitment is limited to the relevant application and people handling that vacancy. Employer decisions and updates depend on that employer; an application does not guarantee an interview or job.

An employer receiving your application will generally be a separate controller for its recruitment activities. Its privacy notice explains its subsequent use and retention of your information. Where another arrangement applies, we will explain it.

If you apply through an external website or Google Form, read the privacy information provided with that form or website.

6. Providers and other recipients

Our current services use Webador for website and mailbox services, Supabase for authentication and database services, and Google for Google sign-in and any Google Forms we use. Their authorised service providers may also process information needed to deliver those services.

Emails and messages may be handled through the mailbox services used by KaamDown and the recipient. Relevant information may also be shared with professional advisers or public authorities where necessary and lawful.

We will update this notice when a new provider begins handling user information or our sharing practices materially change.

7. Storage and international processing

KaamDown's Supabase database is hosted in West EU (Ireland), region eu-west-1. This does not mean every provider processes all information in Ireland.

Supabase describes additional processing in Singapore and the United States in its data residency and transfers information . Its Data Processing Addendum includes contractual transfer safeguards, including provisions for UK transfers.

Webador's processing terms allow processing in the European Union and certain transfers outside it. Google operates international infrastructure under its applicable privacy and service terms.

For restricted transfers from the UK, the applicable arrangement must provide the required protection, such as UK adequacy regulations or approved contractual safeguards with the necessary UK provisions. Contact our privacy email for information about the arrangements relevant to your information and copies or details of applicable safeguards.

8. Retention and deletion

Our retention policy distinguishes your ongoing account from individual recruitment records:

  • Unsuccessful or withdrawn applications and attached CVs: six months after the recruitment process ends.
  • Accounts and saved profiles: while actively used. After 24 months of inactivity, review the account and contact the user before deletion.
  • Resolved general enquiries: 12 months after the last contact.
  • CVs for future vacancies: only under a separate optional arrangement, reviewed after 12 months, with an opportunity to renew or withdraw it.

For placement records, security logs, provider logs and backups, retention depends on the specific purpose, incident, contractual setting or legal requirement. Information is reviewed for deletion or anonymisation when that purpose ends; provider copies and backups may follow their own deletion cycles rather than immediate removal.

Relevant information may be retained longer where a documented legal obligation, ongoing dispute or legal claim justifies it. Copies held by employers are subject to their own notices. You can request deletion by email; we will explain any information we must retain and why.

9. Cookies and local storage

Cookies or browser storage support functions such as maintaining login sessions, remembering display and cookie choices, and returning you to a selected job after sign-in.

Use Cookie Settings on the website to review available optional choices. Optional analytics or similar technologies that require consent should operate only after that consent. Clearing browser storage may sign you out or remove your preferences.

Third-party websites opened from KaamDown have their own cookie and privacy practices.

10. Your rights

Depending on the circumstances, you can request access, correction, deletion, restriction of processing or portability of certain information. Rights are subject to the applicable legal conditions and exceptions.

Right to object: you may object to processing based on legitimate interests, explaining your particular circumstances. You can object to direct marketing at any time.

Where we rely on consent, you may withdraw it. This does not affect the lawfulness of processing before withdrawal.

Email myfirstjob@kaamdown.com to exercise your rights. We may request proportionate information to confirm your identity. We normally respond within one month, subject to permitted extensions and exceptions, and explain any refusal.

You can complain to the UK Information Commissioner's Office at ico.org.uk/make-a-complaint . You do not have to contact us first, although we welcome the opportunity to resolve concerns.

11. Security and your account

Keeping account and application information appropriately protected is our responsibility. Authentication and database access rules are part of the service's safeguards, alongside appropriate administrative controls. No internet service can guarantee absolute security.

Keep passwords, sign-in links and verification codes private. Contact us promptly if you suspect someone has accessed your account without permission.

Application review may involve KaamDown and employers. Any new automated decision-making feature that significantly affects applicants would require further privacy information and appropriate safeguards before use.

12. Updates and contact

We will revise this notice when our services or practices change and notify users of material changes as appropriate.
